1. General Terms

1.1 Camp Leopard Pvt Limited’s Online Payment Gateway is provided by Bucketlist LK. Hence your credit card statement for your payment may reflect your charges as Camp Leopard or Bucketlist LK, or similar.

1.2 Camp Leopard packages are available for a minimum stay of 1 night and standalone private guided safari day tours. If you wish to stay more than 3 nights please check with us for a bespoke custom package to be tailor-made to suit your requirement.

1.3 Please be advised that we do not provide accommodation for drivers/guides at our campsite. However, we can make arrangements for off-site accommodation only for the guide/driver, upon request for an additional charge.

1.4 Camp Leopard check-in time is between 1200 to 1400 hours and 1830 to 1900hrs; early/late check-in will be accommodated only on prior request and strictly subject to availability. Late arrival might result in exclusion from certain Camp Leopard activities on that day or jeeps’ unavailability to pick up the guests at the meeting point.

1.5 In order to take part in the evening game drive, clients have to be at the pick-up point latest by 1430 hrs.

1.6 Camp Leopard check-out time is between 1000 and 1100 hours; early checkouts can be arranged on prior request but late check-outs may not be possible due to limited availability of the camp.

1.7 It is the guest’s responsibility to provide us with the driver’s contact number a minimum of 24 hours before arrival so that we can coordinate your arrival at the meeting point.

1.8 Your package starts/ends at the pick-up point near our campsite as per the details provided with your booking confirmation. You are responsible to arrange your own transport to and from the pick-up points (upon departure after your stay). Assistance in arranging transport is available on request.

1.9 Please be advised that you are arriving at a campsite in the wilderness, not a luxury hotel, there may be cases such as where you encounter a harmless frog trying to sneak into your room. For any inconveniences that you may encounter, you can always contact our team, and we will do our very best to overcome such situations.

1.10 It is your responsibility to inform us about any dietary restrictions or requirements early in advance so that we can cater to your needs. If you fail to do so we cannot be held responsible for any shortcomings in your meals. Due to the nature of the operation, the guest meals are planned a day ahead.

1.11 You are obliged and required to carry your passport with you when visiting the camp.

1.12 Our housekeeping team may enter your tents for turn-down service while you are on a safari. If you do not wish anyone to enter your tent while you were gone, please do advise your host/naturalist.

2. BOOKING AND PAYMENT

2.1 Guests will be confirming the booking by transferring the invoice amount to our account, thereby accepting our terms & conditions and the cancellation policy.

2.2 For bookings made more than 2 weeks prior to arrival a 50% advance payment is required to secure the booking and the balance should be paid 2 weeks prior to arrival.

2.3 For bookings made less than 2 weeks prior to arrival, full payment is required to confirm the booking.

2.4 Payments are to be made by bank transfer or online via credit card as per the details provided in your invoice.

2.5 Guests must bear all local & foreign bank transfer charges, credit card surcharges,s or online payment surcharges when arranging payment.

3. INSURANCE

3.1 Guests are required and responsible for arranging travel insurance covering illnesses, injuries, death, loss, and damage of baggage and personal items, cancellations, and curtailments. By confirming your booking you confirm to us that you have arranged such insurance. Camp Leopard cannot be held responsible for any of the above.

4. CANCELLATION POLICY

4.1 Cancellations by you

4.1.1 Camp Leopard recognizes that circumstances can change. In the event that you must cancel your planned holiday, Camp Leopard will be entitled to retain a part of the payment made by you as compensation for reserving the dates for your holiday (at the exclusion of another possible client), the work preparing itinerary, administrative expenses and local costs utilized to secure your holiday (i.e. non-refundable park entrance fees). The compensation amount will differ according to the advance period of notification.

4.1.2 Whether due to health problems, changing in personal circumstances, or owing to security concerns (for example should the appropriate governmental body in your country advise against traveling to Sri Lanka), Camp Leopard will guarantee the following refunds:

•– 3 months before travel: 100% to be refunded.

•– 45 days up to 3 months before travel: 75%of the cost to be refunded.

•– 15 days up to 44 days before travel: 50% of the cost to be refunded.

•– Less than 14 days before travel there will not be any refund.

4.1.3 Any party wishing to cancel a confirmed booking with Camp Leopard must notify the company in writing (via e-mail). The cancellation date is timed from when Camp Leopard first receives the notification of a cancellation request. We will return all monies due as soon as possible or, should you prefer, offer you a suitable alternative date for your consideration. In the latter event, 100 % of the booking fees paid will be set aside and utilized for a future booking.

4.1.4 Camp Leopard will have no liability to pay compensation to you for any failure to properly fulfill the contract, where the failure is attributable to you. Examples would be that any member of your party is unable to travel for reasons such as failing to take his/her passport with him/her, traveling on a passport that does not meet the requirements of entry into Sri Lanka, or getting the required tourist entry visa.

4.1.5 Camp Leopard assumes no responsibility for any loss or damage to property or for injury, illness, or death, for any damages or claims however so caused arising directly or indirectly from war, riot strife, industrial dispute, contact with wild animals, terrorist activity, actions of governments or other state bodies, unavoidable technical problems with transport, machinery or equipment, delays, power failures, natural disasters, tsunamis, fires, adverse weather conditions or levels of water in rivers, accidents from the time of pick up to drop down at Camp Leopard, or Acts of God.

4.2 Cancellations by Camp Leopard

4.2.1 Your personal safety is our prime concern, which we take very seriously, at all times. In the event that Camp Leopard must cancel your holiday due to natural disasters, unforeseen circumstances, and other force major events outside the control of Camp Leopard, we will guarantee a 100% refund at any point

4.2.2 We cannot be held liable for any incidental expenses that you may have to incur during arrangements for a holiday that is subsequently canceled due to circumstances outside of our control, including Acts of God.

4.3 Amendments

4.3.1 Amendments in bookings are considered or entertained only if prior information has been received at least 2 weeks before your Check-In date.  Once payment has been made by the client, the booking is considered confirmed and final, and cannot be amended.

5. COVID-19 RELATED INFORMATION

5.1 All our staff is fully vaccinated for Covid-19 and we adhere to the health and safety regulations and guidelines set by authorities at our properties and during tours.

5.2 If any tours are to be canceled due to an unavoidable covid-19 related situation with valid evidence. Camp Leopard will validate the reasons and provide a full refund or transferable credit, or a date change, accordingly at Camp Leopard’s discretion based on the reasons validated.

5.3 If by any chance you or other guests in your party show symptoms or test positive while you are on a tour with Camp Leopard, guidelines set by authorities will be followed accordingly.

5.4 It is your responsibility to inform us if you tested positive for covid-19 within 7 days after your departure from Camp Leopard.

5.5 If any of our staff members that associated with you during your tour tested positive, guests who stayed with us for the previous 7 days from the time of diagnosis, will be notified.

6. PARK ENTRANCE TICKETS

6.1 Unless otherwise specified, your park entrance tickets by the Department of Wildlife Conservation for safaris are excluded from the packages. Entry tickets are due for all guests at the gate every time you enter the national park. It is the customer’s responsibility to carry enough cash in LKR for park entrance tickets for each tour or prepay for the park entrance tickets to us at the time of payment.

6.2 Tax and Statutory charges included approximate cost (in LKR equivalent) for Park Entrance ticket per Foreign Adult is USD 35 & Foreign Child USD 20. Please refer to Park Entrance Ticket Calculator for the exact amount.

6.3 In case you do not carry enough cash for tickets and you haven’t prepaid us for the tickets, it is very important to let your naturalist/host at the check-in so we can make the arrangements to purchase the tickets on your behalf of you and get reimbursed from you at the checkout.

6.4 Cash Reimbursements or prepayment for Park Entrance tickets done using credit/debit cards will be subject to a 5% surcharge.

6.5 Any revisions done to the park entrance ticket calculations causing a discrepancy of the prepaid park entrance tickets by the department of wildlife conservation will be applicable at the time of travel will be charged or reimbursed accordingly from the guest

7. PAYMENTS DONE AT THE CAMP

7.1 Once we finalize your booking, we will send you an invoice with everything you have reserved. Hence we highly recommend having all the dues paid online prior to arrival. However, any balance payments onsite can be made in Cash in LKR, USD, EUR, or GBP.

7.2 We do have a credit card machine that accepts Visa and Mastercards however due to the remoteness of the camp, weather conditions, and frequent power outages we struggle a lot with a steady connection to have it functioning. Therefore it is highly recommended to pay online or pay in cash if you have any dues at the checkout.

8. PAYMENTS IN CASH USD

8.1 Any Camp Leopard Tour Payments made in Cash USD ‘may be’ subject to an 5% discount on the payment amount. (This is not applicable for third-party services such as taxi transfers, park entrance tickets, etc.)

9. Validity of the above terms and conditions

9.1 Camp Leopard Pvt Ltd Reserves the right to update or amend the above Terms and conditions with or without prior notice and the prevailing terms and conditions will be applicable for the revision date onwards even if any reservations are made prior to the revision date.
